Configuring file templates
Configuring file templates prepares the workspace so that users can run the Create from template and Add files from template commands described in the BlueCielo Project Portal User's Guide. File templates help to standardize file formats and layouts and let users attach files created from the templates to documents rather than upload files
created on their computers.
Configuring file templates involves the following tasks that should be performed in the order listed:
Note Where specified, property values must be set exactly as shown.
- If it does not already exist, create a special folder type as described in Creating, editing, and deleting folder types. This folder type will be used to build a folder structure to store and organize the file templates. This step is optional.
- Set Folder type code to TCF or TCN.
- Set Folder type name to Template Container.
- If it does not already exist, create a special document type as described in Creating, editing, and deleting document types. This document type will be used in the template folder structure to represent the file templates. This step is optional.
- Set Document type code to FTD.
- Set Document type name to File Template Document.
- If it does not already exist, create a special root folder in the workspace by selecting New structure from the root folder list in the navigation frame. This folder will be the root of the template folder structure. This step is optional.
- Set Name so that users can easily identify the folder as containing file templates, for example, Templates.
- Set Type to Template Container as created in step 1.
Note We recommend that you keep the number of root folders used for file templates very limited.
Tip Assign an access profile to the template folder structure to limit access by users to edit the template folder structure and its contents and to limit access to template documents.
- Create at least one subfolder in the Templates root folder as described in the BlueCielo Project Portal User's Guide. This step is required.
- Set Name so that users can easily identify the type of templates that are contained in the folder, for example, Project Management.
The value of Type for subfolders of a template folder is automatically set to Template Folder Container and cannot be changed.
- Create template documents in the subfolders of the template folder structure as described in the BlueCieloProject Portal User's Guide. This step is required.
- Set Name so that users can easily identify the type of template it represents, for example, Project Report.
The value of Type for documents in a template folder is automatically set to File Template Document and cannot be changed.
- Attach one template file to each template document as described in the BlueCielo Project Portal User's Guide. This step is required.
- Configure property values for the documents created from the templates as described in Assigning document property values. This step is optional.
